The 6th European Festival Conference is sold out.

YOUROPE’s biannual conference format European Festival Conference (EFC) returns for the sixth time from November 18-21. EFC is a gathering and summit of festival promoters in a unique conference format related to all festival topics. We look forward to meeting up in Portugal in the middle of Évora’s beautiful landscape where we will stay at Ecorkhotel Évora, Alentejo and have the conference with first-class food, excursions and wellness offers included.

The EFC is dedicated fully to popular music festivals and more intimate than other conferences because the number of participants is limited. “It’s special to be there on a social level,” YOUROPE’s chairman, Christof Huber, said, because you spend three days together without any outside distractions.

Let’s exchange, discuss and get energized and inspired for the European festival season 2026. Two days of seminars, workshops, outdoor activity and networking excursions in an outstanding and intimate conference at a special place in Évora, Portugal, are waiting for you.

EFC Program

Participants will arrive on Tuesday, Nov 18, which offers a welcome reception and dinner. The two conference days, Wednesday and Thursday, include an excursion to the old town of Évora and an excursion to the local winery Fitapreta Vinhos – both with networking dinners.

The hotel offers bungalows to stay in, conference rooms, a pool bar, a lobby bar, wellness and spa. Breakfast, lunch and welcome dinner will be served in the hotel restaurant. We conclude the 6th EFC with a few cool drinks, good conversation and excellent music in the bar of the Ecorkhotel. Delegates will leave after breakfast on Friday.

11.30 Extreme Weather – Can You Stand The Heat?

In recent years, extreme weather has firmly established itself among the top challenges faced by the festival sector – a trend that will only intensify as the effects of climate change continue to unfold. As a result, extreme weather remains a recurring focus throughout YOUROPE’s conferences and seminars, explored from multiple perspectives. At the EFC, we will place a particular spotlight on heat, drought, and dryness, examining their associated risks, impacts, and practical recommendations for festival organisers. We are delighted to welcome Prof. Miguel Almeida from the Association for the Development of Industrial Aerodynamics (ADAI) at the University of Coimbra, who will share his expertise on fire management and wildfires. His experience and collaboration with Portugal’s Boom Festival will offer valuable real-world insights. In addition, participants will get an exclusive sneak peek at the forthcoming 3F Weather Toolbox, currently being developed by the YOUROPE Event Safety Group, providing new guidance and tools for weather preparedness and response in the festival sector.

14:00 The Economic Impact Of Festivals

Room 1

Festivals are not only cultural catalysts but also significant economic drivers. This session explores how understanding and communicating their economic impact can strengthen legitimacy, attract support, and secure recognition. Economist Prof. Vítor Éscaria (University of Lisbon, ISEG) presents the latest findings from a major 2025 study on the Portuguese Boom Festival, following the 2018 analysis that revealed a €55.3 million contribution to Portugal’s economy. Roberta Medina, Director of Rock in Rio Lisbon, shares insights from comparable studies of a major urban festival. To put these case studies into context, this session turns the spotlight on Portugal. Hosting more than 350 festivals in 2024 alone — generating an estimated €1.6 billion in economic impact — the country illustrates how festivals can shape cities, attract international audiences, and nurture vibrant cultural and economic ecosystems.

This session explores how Roskilde Festival has refined its show stop procedure—most recently through Pink Bow Foundation’s international certification program. This festival season more than ever, events across Europe have found themselves in the spotlight of intense public debate, often fueled by global political tensions reflecting in every corner of society. In this session, three festivals from all over Europe share their very different experiences navigating the storm. How do teams handle heated criticism they didn’t provoke? What strategies help when facing online backlash, false accusations, or reputational attacks from activist groups prioritizing politics over festival spirit? Attendees get an inside look at the tough decisions and resilience required to protect artistic freedom while engaging with an increasingly vocal public. It promises to be an eye-opening discussion.

18:00 EFC Excursion 1 – Guided Tour of Évora & Delegates Dinner

The first day of EFC6 ends with an excursion to the heart of Évora, including a guided tour and a delegates’ dinner. The historic old town of Évora, a UNESCO World Heritage Site, is famous for its remarkably well-preserved Roman, medieval, and Renaissance architecture. With its narrow cobblestone streets, whitewashed houses with yellow trim, and lively squares, the city offers a unique and authentic atmosphere. Highlights include the Roman Temple, the impressive Sé Cathedral, and the fascinating Chapel of Bones. Évora is a cultural gem of the Alentejo region, preserving its rich history in a captivating way. Thus, as a special EFC highlight, you will visit Évora’s old town on the evening of our first conference day, giving you the chance to experience the city that will be the European Capital of Culture in 2027.

We are honored to welcome Álvaro Martinho, Agronom at Portugals’s oldest wine company Real Companhia Velha and guardian of Quinta das Carvalhas, as this year’s EFC keynote speaker. In his talk Martinho shares his lifelong commitment to the land where he was born. He will explore how tradition and innovation intertwine in the recovery of ancient vineyards, the preservation of native grape varieties, and the promotion of biodiversity. Through his pioneering approach at Quinta das Carvalhas, Martinho transformed the estate into a living model of sustainability and social inclusion, where women play a central role in viticulture. His vision unites ecology, heritage, and community -offering a powerful reflection on the future of wine and the people who shape it.

Across Europe and beyond, we are witnessing times of political upheaval and instability. In some countries, people and parties are rising to power whose political compass stands in stark contrast to the values our sector has upheld for decades – values that have shaped our festivals into open, inclusive spaces contributing to a better world for everyone. Millions of people love and support these festivals for their spirit and philosophy. Yet, precisely this openness and commitment to diversity are increasingly under attack from populist and authoritarian forces.
In this panel, we will hear from festival representatives who have faced political pressure and interference on various levels – experiences that echo patterns found in the playbooks of populists and autocrats. The session will be hosted by YOUROPE’s General Secretary Holger Jan Schmidt, in cooperation with Prof. Özgehan Şenyuva, who will provide a scientific framework to help contextualise these cases and guide us toward meaningful insights and conclusions.

Navigating the jungle of festival insurance can be daunting. Using a realistic but fictive festival case study, YOUROPE’s legal adviser Prof. Ralf Kitzberger (Schickardt Rechtsanwälte) and event insurance expert Christian Denzer (covermyass) guide our participants through the maze of valuable and worthless offers, legal pitfalls, and liability risks. From event liability and practical recommendations for implementation and contracting to cancellation insurance including weather risks, all the way to cash insurance or cyber coverage – this session sheds light on what truly matters when safeguarding your festival.

Following the first part of our “Dancing in the Dark” block, we will move from sharing experiences and theoretical framing to hands-on engagement with the topic in a collaborative group workshop. Together, participants will identify vulnerabilities and weak points within our events and discuss practical strategies and actions that both individual festivals and the wider scene can take to resist political pressure, threats, and attacks. We might wish that such a workshop was unnecessary – yet these are the realities we face. And together, we are ready to rise to the challenge.

Festivals are magical places — or so we like to believe. But who really creates this magic, and how much of it can be artificially generated? In this lively session and with the kind support of Prof. João Pereira from Universidad de Évora we’ll borrow the classic Debate Club format which is around since the 18th century and split into two groups to tackle big questions: What is the true value of human creativity? What are the ethics of using AI in festivals? Can technology ever capture the authentic festival spirit — or does it risk replacing it? Join the debate and decide for yourself where the line between human and artificial magic should be drawn.

Stronger Economy With Sustainability Policies

Removing Illegal Resale Listings: What You Need To Know

Room 2

Illegal ticket resale continues to drain revenue from festivals and frustrate fans. This session hosted by the Face-value European Alliance for Ticketing (FEAT) brings you up to speed on the fight against ticket ‘scalpers’, unpacking the Digital Services Act (DSA) and its tools for reporting illegal content online. With 70% of global traffic to unauthorised ‘resale’ website Viagogo coming from Google, we’ll share practical steps on how to report search ads that direct fans to illegal tickets, as well as the illegal tickets themselves. We’ll also look at how enforcement of EU law is progressing in practice, and whether the upcoming Digital Fairness Act will fix any of the problems faced by event organisers and fans.

Fitapreta Winery with wine tasting, tour and EFC Farewell Dinner

As the closing event of the 6th European Festival Conference, participants are invited to an exclusive excursion to the Fitapreta Winery, located in the Alto Alentejo region, just 10 km from Évora. Situated within the historic Paço do Morgado de Oliveira, a medieval estate founded in 1306, Fitapreta harmoniously combines centuries of heritage with contemporary winemaking. A guided tour offers insight into the estate’s remarkable history and today’s operations, followed by a wine tasting featuring Fitapreta’s distinguished wines. Fitapreta is also the special place for the EFC Farewell Dinner, providing a fitting and unique finale to this year’s conference in a setting rich with culture, history, and hospitality.

We will conclude the 6th EFC with a few cool drinks, good conversation and excellent music in the bar of the Ecorkhotel.
